How Chatrabas.app looks after your information
Last updated 10 October 2026. This covers the Chatrabas.app website, the app for students and parents, and the system hostels run on.
Who is responsible
Chatrabas.app is run from Nepal. There are two kinds of information here, and a different party is responsible for each:
- Your Chatrabas.app account and profile (the details and documents you add in the app, your bed requests): Chatrabas.app is responsible.
- A hostel's own records (its student files, bills, payments, attendance, meals, leave): the hostel is responsible. Chatrabas.app stores and processes them for the hostel and does not use them for anything else.
What we collect
- To sign in: your mobile number or email address. If you continue with Google, your name and email address from Google.
- Your profile, if you fill it in: name, date of birth, gender, home address, parents' and emergency contacts, education, and the documents you scan (for example your citizenship). ID numbers are stored encrypted.
- Bed requests: the hostel, room type and move-in date you ask for, and your message.
- From your hostel, while you stay: your room, bills and payments, leave and meal changes, and when you go in and out through the gate.
- Gate cameras and terminals: at hostels that use them, and only for people whose consent the hostel has recorded, faces are recognised on the hostel's own computer. Video stays there. Chatrabas.app receives who passed, when, through which gate, and a small snapshot, which is deleted after 30 days.
- Your phone: a notification token so we can send you push notifications, and the name of the device you signed in on.
- The website: Google Analytics counts visits to public pages (not the hostel console or your documents).
Why we use it
- To sign you in and show you your stay: bills, attendance, meals, leave.
- To send a hostel your request for a bed. Before you are checked in, a hostel sees only your name, gender, verified phone, move-in date, room preference and home district. When a hostel checks you in, it gets a copy of your profile for its records.
- To send you sign-in codes, bills, receipts and reminders by WhatsApp, SMS, email or push.
- To send you offers from Chatrabas.app, only if you turn this on in the app. You can stop them at any time in the app or at chatrabas.app/stop.
We do not sell your information, and we do not show advertising.
Who else handles it
- The hostel you stay at, or ask for a bed at (as above).
- Services that carry our messages and notifications: WhatsApp, SMS providers, email, and Google Firebase for push.
- Payment services when you pay a bill online (eSewa, Khalti, Fonepay, connectIPS). You pay on their pages; Chatrabas.app never sees your card, wallet or bank login.
- Our hosting and network providers, which store and carry the data for us.
- Authorities, when the law of Nepal requires it.
How long we keep it
- Your account and profile: until you delete them.
- Gate snapshots: 30 days.
- A hostel's records: for as long as the hostel keeps them, including what tax law requires it to keep (bills and payments).
Your choices and rights
- See and correct your profile in the app at any time. You can see which hostels hold a copy of it.
- Delete your account: in the app (Profile → Delete my account) or at chatrabas.app/account/delete. This deletes your account, profile, documents and sign-ins. Hostels keep their own records of your stay; ask the hostel to delete those.
- Ask your hostel to stop recognising your face at the gate; it can withdraw your consent, and your face is then removed from its cameras.
- Ask us what we hold about you, or anything else about privacy, at [email protected].
Security
Everything travels over HTTPS. Documents and photos are stored privately and only shown to people allowed to see them; ID numbers are encrypted. Hostel staff see only what their role allows.
Children
The app is for students aged 16 and over and for parents. Records of younger students are kept by their hostel, and their parents use the app.
Changes
When this policy changes, the date at the top changes too. Important changes are also shown in the app.
